Fully computer literate (MS Word, Excel, PowerPoint, Events, Outlook and MS Project)
Fundamental knowledge of all aspects of events planning and management

Objective of position:-
To implement, plan and manage events and conferences (projects). This position will report directly to the General Manager, but will also assist the Sales & Marketing team when necessary.
Responsibilities:-
• Perform project management and control functions of projects organized by the client.
• Oversee and update project plans on MS Project.
• Ensuring accurate data capturing on Events and Tourplan.
• Ensuring the profitability of projects through sound financial management principles
• Assessing and approval of payments for projects before submitting to General Manager for final approval.
• Prepare accurate costing sheets for each project and ensure that costing sheets are prepared and delivered according to the Finance Department’s deadlines and requirements.
• Undertaking efficient budgeting and expenditure control as well as procurement according to the client's principles and guidelines.
• Overseeing and optimizing resources in the planning and managing of projects to ensure the smooth running of the project.
• Developing and maintaining sound communication and relationships with internal and external stakeholders.
• Attend meetings with clients and ensure that minutes and agendas are prepared accurately and on time.
• Efficient management of venue database, supplier database and venue filing systems.
• Ensuring that skills are successfully transferred to the project team.
• Efficient management of project files.
• Continuously develop and train project coordinating staff.
• Submit monthly, quarterly and annual reports when required.
• Rendering support and creative input for sales proposals.
• Rendering assistance to the Sales Department with the preparation of costing sheets and quotations for potential business.
• Supervise the capturing of registration and administration data in Events Pro software.
• Liaise actively with clients, accommodation suppliers and other service providers
• Help to build up a good image of the client's Conferences and Events.
• Negotiating, developing and drafting contracts for projects.
• In-depth knowledge of client, facilities and products.
• Communicate regularly with the General Manager to report on project status.
Social Interaction: -
Externally - International and national clients, local suppliers and service providers
Internally - Reports to General Manager, liaise with General Managers and staff
